1. Agreement to Terms
By downloading, installing, or using AC Commission Pro ("the App"), you agree to these Terms of Service ("Terms"). If you don't agree, please don't use the App.
The App is provided by: AC Commission Pro, 173 Brunswick Road, Ipswich, Suffolk, IP4 4DB, United Kingdom.
2. Description of Service
AC Commission Pro is a mobile application for iOS and Android for creating, managing, and sharing air conditioning commissioning certificates. The App includes:
- Certificate creation and management
- Photo documentation and OCR scanning
- PDF generation with company branding
- Digital signature capture
- Refrigerant (van stock) tracking
- Job sheets, client management, and job folders (team mode)
- Cloud backup (iCloud on iOS, Firebase on Android)
- Team management with certificate sharing and sync
3. Eligibility
You must:
- Be at least 18 years old
- Be a qualified HVAC engineer or authorized to create commissioning certificates
- Have authority to provide client and system information
- Comply with UK regulations (including F-Gas regulations where applicable)
4. License
What you can do:
- Use the App for your professional HVAC business
- Create unlimited certificates (Pro plan)
- Generate PDFs with your company branding
- Share certificates with clients
What you cannot do:
- Resell or redistribute the App
- Reverse engineer or decompile the App
- Remove copyright notices or branding
- Use the App for illegal purposes
- Share your account credentials
- Create fraudulent or false certificates
5. Subscription Plans
Trial:
- 7-day free trial with full access
- No credit card required
- Watermark on PDFs after trial expires
Solo Plan:
- £79.99/year
- Unlimited certificates
- Company branding with logo
- PDF export and email
- Van stock tracking
Small Team Plan:
- £499/year
- Everything in Solo
- Up to 5 engineers
- Certificate sharing and cloud sync
- Team management
Team Plan:
- £799/year
- Everything in Small Team
- Up to 15 engineers
- Job sheets, client management, and job folders
Business Plan:
- £1,199.99/year
- Everything in Team
- Up to 50 engineers
Prices are in GBP and include VAT where applicable. Plan availability may vary by platform.
Billing:
- Subscriptions charged via Apple App Store (iOS) or Google Play (Android)
- All plans auto-renew yearly unless cancelled 24 hours before renewal
- Manage subscriptions in iOS Settings > [Your Name] > Subscriptions, or Google Play > Payments & subscriptions
- No refunds for partial periods
Price Changes: We may change prices with 30 days notice. Existing subscribers keep their price for the current billing period.
6. Your Responsibilities
You are responsible for:
- Accuracy: Ensuring all certificate data is accurate and truthful
- Compliance: Following UK regulations (F-Gas, Building Regulations, etc.)
- Data security: Protecting your device with passcode/biometric lock
- Backups: Maintaining regular backups of all your data. You are solely responsible for ensuring your certificates, photos, and other content are backed up. We strongly recommend enabling cloud backup and exporting important certificates as PDFs
- Client consent: Obtaining permission to store client information
- Professional standards: Using certificates in accordance with your professional obligations
7. Professional Use Disclaimer
IMPORTANT: AC Commission Pro is a documentation tool. It does not:
- Replace your professional qualifications
- Guarantee regulatory compliance
- Provide engineering advice
- Certify your work meets standards
You remain professionally responsible for:
- The accuracy of all commissioning data
- Compliance with UK regulations
- Quality of installation work
- Safety of installations
OCR and Automated Data Capture:
The App includes optical character recognition (OCR) and AI-assisted features that automatically extract data from equipment labels, nameplates, and other sources. These features are provided as a convenience to speed up data entry. Automated scanning results are not guaranteed to be accurate.
- OCR and AI-generated data may contain errors, omissions, or misinterpretations
- You must review and verify all automatically captured data before saving or submitting any certificate
- AC Commission Pro accepts no responsibility for errors arising from unverified OCR or AI-generated data
- The accuracy of all certificate data — whether entered manually or captured automatically — remains your sole responsibility
8. Team Mode
Team plans (Small Team, Team, Business) include additional features and responsibilities:
Team Administrator:
- The team administrator (subscription holder) is the data controller for all team data
- Responsible for managing engineer access and permissions
- Can add or remove engineers at any time
- Responsible for informing clients about data processing within the team
Team Engineers:
- Your name, email, and certificates are accessible to your team administrator and authorised team members
- Company settings are managed by your administrator
- Your administrator may revoke your access at any time
- You may delete your account and data at any time via Settings
Team Data:
- On iOS, team data is synced via iCloud (Apple CloudKit) — we have no access to this data
- On Android, team data is synced via Firebase (Google Cloud) hosted in the UK (europe-west2)
- Each company's data is completely isolated from other companies
- All data is encrypted in transit and at rest
9. Data and Content
Your Content:
- You own all data you create (certificates, photos, notes, job sheets)
- You grant us no rights to your content
- You're responsible for backing up your data
- Solo users: data is stored locally on your device (with optional cloud backup)
- Team users: data is synced between authorised team members via cloud services
Our Content:
- App design, code, and branding remain our property
- You may not copy or reproduce App elements
- "AC Commission Pro" is our trademark
10. Data Storage, Backups, and Data Loss
How Your Data is Stored:
- Solo users: Your data is stored locally on your device. If you delete the App, reset your device, or your device is lost, stolen, or damaged, your local data will be permanently lost unless you have enabled cloud backup
- Cloud backup (optional): iCloud backup on iOS, Firebase backup on Android. Cloud backup is provided as a convenience and relies on third-party services (Apple iCloud, Google Firebase) that are outside our control
- Team users: Data is synced via iCloud (iOS) or Firebase (Android). Sync availability depends on these third-party services
Your Backup Responsibilities:
IMPORTANT: You are solely and entirely responsible for maintaining backups of your data. AC Commission Pro provides tools to help you back up (cloud backup, PDF export), but the responsibility for ensuring your data is protected lies with you. We strongly recommend that you:
- Enable cloud backup within the App at all times
- Regularly export important certificates as PDF files and store them independently
- Maintain your own records of critical commissioning data outside the App
- Ensure your iCloud or Google account has sufficient storage for backups
- Verify your backups are working by periodically checking your cloud backup status in Settings
Data Loss:
AC Commission Pro accepts no responsibility whatsoever for any data loss, howsoever caused. This includes, but is not limited to, data loss resulting from:
- Device failure, loss, theft, or damage
- App deletion or reinstallation
- Operating system updates or device resets
- iCloud or Google account issues, storage limits, or service outages
- Software bugs, crashes, or unexpected behaviour
- Changes to third-party services (Apple iCloud, Google Firebase)
- Account deletion (which is permanent and irreversible)
- Failure to enable or maintain cloud backups
- Any other cause, whether within or outside our control
By using the App, you acknowledge and accept that you bear full responsibility for safeguarding your data and that AC Commission Pro shall not be held liable for any loss of data under any circumstances.
11. Acceptable Use
You agree NOT to:
- Create false or fraudulent certificates
- Violate any laws or regulations
- Infringe others' intellectual property
- Use the App to harass or harm others
- Attempt to hack or compromise the App
- Use the App for any automated or bulk operations
Violations may result in account termination without refund.
12. Service Availability
We strive for 99.9% uptime but cannot guarantee:
- Uninterrupted access
- Error-free operation
- Compatibility with future iOS or Android versions
- Permanent availability of features
We may:
- Perform maintenance (with notice when possible)
- Update features
- Discontinue features (with reasonable notice)
13. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW:
We are NOT liable for:
- Any loss of data, regardless of cause (see Section 10 — Data Storage, Backups, and Data Loss)
- Business losses or lost profits
- Errors in certificates you create
- Regulatory non-compliance
- Indirect or consequential damages
- Third-party claims arising from your use
Maximum liability: Amount you paid in the last 12 months (or £100 if free plan).
This doesn't limit liability for:
- Death or personal injury from our negligence
- Fraud or fraudulent misrepresentation
- Anything that cannot be limited by UK law
14. Termination
You can stop using the App anytime by:
- Deleting the App
- Cancelling your subscription (in iOS Settings or Google Play)
We may terminate your access if you:
- Violate these Terms
- Use the App fraudulently
- Fail to pay subscription fees
- Engage in prohibited activities
Upon termination:
- Your subscription access ends
- Local data remains on your device until you delete the App
- No refunds for prepaid subscriptions
15. Account Deletion
You may delete your account at any time:
- Solo users: Uninstall the app to remove all local data
- Team users (Android): Use the "Delete Account" option in Settings to remove your account and all associated data from Firebase
- Team users (iOS): Use the "Delete Account" option in Settings to remove your account and all associated data from iCloud
Account deletion is permanent and cannot be undone.
16. Governing Law
These Terms are governed by the laws of England and Wales.

We may update these Terms. When we do:
- We'll update the "Last Updated" date
- We'll notify you via in-app notification or email
- Continued use constitutes acceptance
- Material changes will require explicit agreement
