1. Introduction

AC Commission Pro ("we", "our", "us") operates the AC Commission Pro mobile application for Android (the "App"). This Privacy Policy explains how we handle your information in compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. Our Commitment

For solo and sole trader users, all data is stored locally on your device. We do not collect, access, or process any of your information.

For team mode users, data is synced securely between authorised team members within your company. We do not sell, rent, or share your data with any third parties.

3. Information You Enter

The App allows you to enter the following information:

  • Company details (name, address, contact information)
  • Engineer information (name, email, signature)
  • Client details (name, address, phone, email)
  • Air conditioning system details and test results
  • Photos of equipment
  • Refrigerant records

For solo users, this information is stored locally on your device. For team mode users, this data is synced between authorised team members within your company.

4. What We Do Not Collect

  • Location or GPS data
  • Device identifiers or advertising IDs
  • Usage analytics or behavioural tracking
  • Financial information (subscriptions are handled by Google Play)
  • Browsing history, call logs, or messages

5. Device Permissions

  • Camera: To take photos of equipment and scan data plates
  • Contacts: To import client details (only when you choose to)
  • Calendar: To create service reminders (only when you choose to)
  • Internet: Required for team mode and subscription verification

The App works fully offline for solo users.

6. Solo / Sole Trader Users

When using the App as a sole trader, all data remains stored locally on your device. No data is transmitted to external servers and we do not have access to any information you enter.

7. Team Mode

If you choose to use team mode, the following applies:

  • Your email address is used to create a secure account
  • Company details and certificates are synced between team members
  • Each company's data is kept completely separate and isolated
  • Only authorised team members can access your company's data
  • Team administrators can add or remove engineers at any time
  • All data is encrypted in transit and at rest

8. Team Roles

Team Administrators are the data controller for their company's data and are responsible for managing their team members' access and informing clients about data processing.

Team Engineers: Your name, email, and certificates are accessible to your team administrator and other authorised team members. Company settings are managed by your administrator, who may revoke access at any time.

9. Third-Party Services

  • Google Play - Subscription management
  • Google Cloud Services - Secure data sync for team mode only

We do not use advertising, analytics, or social media services.

10. Data Sharing

We do not sell, trade, or share your data with any third parties. In team mode, data is accessible only to authorised members of your company team.

11. Your Rights (UK GDPR)

Under UK GDPR, you have the right to access, rectify, delete, and export your personal data. Solo users may exercise these rights directly within the App. Team mode users should contact their team administrator or email support@ac-commission-pro.co.uk.

You may also lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

12. Data Retention

Local data is retained on your device until deleted by the user. Team mode data is retained for the duration of your active account and will be deleted upon request. Support correspondence is retained for up to 2 years.

13. Children's Privacy

This App is intended for professional use by adults (18+). We do not knowingly collect information from children.

14. Changes to This Policy

We may update this policy from time to time. Changes will be reflected in the "Last Updated" date above.
